How we collect your information

We collect personal information when you:

What we collect

We only collect the information we need to answer your questions and look after your stay. This may include:

  • your name, email address and phone number
  • the number of guests in your group and the tent you are interested in
  • anything you tell us in your message
  • booking details, such as your dates, the names of guests and payment records
  • information you choose to share so we can help you, such as accessibility needs

Please only share information about your health or other sensitive matters if you are happy for us to use it to plan your stay. We will only use it for that purpose.

How we use your information

We use your personal information to:

  • reply to your enquiries and questions
  • take, manage and confirm your booking
  • tell you about anything that affects your stay, such as changes to arrival times or camp arrangements
  • look after you and keep the camp safe while you are with us
  • improve our website and the experience we offer
  • send you news and offers, but only if you have told us you would like them

Under UK data protection law we must have a lawful reason to use your information. We rely on: taking steps to enter into or carry out a booking with you; our legitimate interests in running and improving Folly Woods; your consent, for marketing and for any sensitive information you share; and our legal obligations, such as keeping financial records.

Sending information over the internet is never completely secure. We take sensible steps to protect your information once we receive it, but we cannot guarantee the security of information while it is being sent to us.

How long we keep it

We keep your personal information only for as long as we need it for the reasons set out in this policy, and then delete it securely.

[Retention periods – e.g. "Enquiries that don't lead to a booking are deleted after 12 months. Booking and payment records are kept for 6 years to meet our tax and accounting obligations." Confirm.]

You can ask us to delete your information or stop contacting you at any time.

Marketing and opting out

We will only send you news and offers if you have agreed to receive them. You can change your mind at any time by emailing hello@follywoods.co.uk or by using the unsubscribe link in any marketing email we send.

If you opt out of marketing, we will still contact you about any booking you have made with us.
